We hope you love your Circa Vintage purchase. This policy explains how to cancel an order, return an item and receive a refund. It does not limit your statutory rights, including any mandatory consumer rights that apply in your country.

Cancelling or amending an order

Please contact us as soon as possible at shop@circavintage.com or +44 (0)20 7736 5038 if you wish to cancel or amend an order. We may be able to make changes before dispatch. To add products, please place a new order; where possible, we will combine orders for shipping.

Online, email and telephone purchases

Where the UK Consumer Contracts Regulations apply to your purchase, you can cancel without giving a reason at any time before delivery and up to 14 days after the day you, or a person you nominate other than the carrier, receive the goods. If a single order is delivered in separate parcels, this period runs from the day after you receive the last item.

To cancel, send us a clear statement by email or post, telephone us, or use the optional cancellation form below. You do not have to use a customer account, obtain prior approval or give a reason to exercise your statutory cancellation right.

After notifying us, please send the goods back or return them in person without undue delay and within a further 14 days. Keep evidence of when you notified us and proof of return.

International customers should contact us for help with returns. Cancellation and refund rights are determined by the law applicable to the purchase; we do not exclude a delivery refund simply because a customer is outside the UK.

How to arrange a return

Email us with your name, order number if available and the items you wish to return. You can also sign in to your customer account, open the relevant order and use “Request Return” if that option is available. Email, telephone or postal notice is equally acceptable for a statutory cancellation.

You can return an online purchase to our shop by prior arrangement. Please contact us to arrange a convenient time. Include or bring your order confirmation, delivery note or other proof of purchase so we can identify the order. A missing original receipt or payment card does not remove a statutory refund right where the purchase can be established by other evidence.

Return postage and packaging

For a change-of-mind return, you pay the direct cost of returning the goods unless we have agreed otherwise or the applicable law requires us to pay. For an item that is faulty, not as described or otherwise fails to meet your statutory rights, contact us before posting so we can agree suitable arrangements; we will bear the reasonable return costs required by law.

We recommend Royal Mail Tracked or Special Delivery for UK returns, or a tracked courier such as DHL for international returns. For valuable pieces, choose a service with appropriate insurance. Please retain your tracking number and proof of postage until the return is complete.

Pack the piece carefully to protect it in transit. Please return it neatly folded where appropriate, with any tags and accessories supplied, and in the condition in which it was received. These requests do not prevent reasonable inspection or trying an item on as you would in a shop.

Condition of returned items

You may inspect and try on an item to establish its nature, characteristics and fit. Under the UK cancellation rules, we may make a deduction only for a loss in value caused by handling beyond what is necessary for that inspection, where the law permits. For example, wearing an item for an occasion, altering it, cleaning it or causing damage may reduce its value. Any deduction will reflect the actual loss in value and will be explained to you; it is not an automatic refusal of the whole refund.

We do not charge a cancellation, restocking or administration fee for exercising a statutory cancellation right.

Delivery refunds

When you cancel the whole order under the UK cancellation rules, we refund the item price and the standard outbound delivery charge you paid. If you chose a more expensive service, the delivery refund is limited to the least expensive standard delivery option we offered for that destination. Free standard delivery has no delivery charge to refund. We do not substitute the cost of free UK delivery for standard delivery to an international destination.

For part-order returns, any delivery refund depends on the charges attributable to the cancelled items and the applicable law. Return postage is separate from the outbound delivery charge.

International returns and customs

Please ask your carrier to complete the appropriate customs paperwork and identify the parcel accurately as returned goods. Include the original order details where required. Correct paperwork helps avoid unnecessary delays and charges, but cannot guarantee customs treatment.

Import duties or taxes paid directly to a customs authority or carrier are handled by that organisation; please ask it about any repayment available. If charges were collected through our checkout, contact us so we can explain how they are dealt with for your return.

If import charges are unpaid and a parcel is returned to us, please also contact us to make your cancellation decision clear. Any return transport or customs cost proposed for recovery will be identified and explained, and will be charged only where legally recoverable. We will not automatically deduct a fixed administration fee, or charges applied in error, from a statutory refund. Applicable refund and delivery-refund rights continue to apply.

Refund timing and payment

We will confirm receipt of your return by email and aim to inspect and process it within 72 hours. For a statutory cancellation, we will refund without undue delay and no later than 14 days after receiving the goods back or, if earlier, receiving evidence that you have sent them back. If no goods need to be returned, the refund is due no later than 14 days after your cancellation notice. Where we have offered to collect the goods, the applicable statutory refund deadline is measured from your cancellation notice.

We refund the original purchaser using the original payment method unless that purchaser expressly agrees otherwise. We do not replace a statutory money refund with store credit without that agreement or charge a refund fee. Gift purchases are refunded to the original purchaser’s payment method. Your bank or payment provider may take additional time to display a refund after it has been issued.

Faulty, damaged, missing or incorrectly described items

If an order is missing, incomplete or damaged in transit, or an item is faulty or not as described, please contact us promptly so we can investigate and arrange the appropriate remedy. Photographs can help us resolve a problem, but your statutory rights are not conditional on providing them.

Under the Consumer Rights Act 2015, goods must be of satisfactory quality, fit for any agreed purpose and as described. For vintage pieces, their age, price, description and any condition issues clearly disclosed before purchase are relevant. This does not excuse an undisclosed fault or an inaccurate description.

Where the UK short-term right to reject applies, you normally have 30 days from delivery to reject goods that fail to meet these requirements and receive a refund. Rights may continue after that period, including repair or replacement and, where the legal conditions are met, a price reduction or refund. The 14-day change-of-mind deadline does not restrict these rights.

Purchases made in person

For a purchase agreed in our shop, there is no automatic statutory right to return an item simply because you change your mind. Please contact us to discuss any discretionary return or exchange. Your rights for faulty, unfit or incorrectly described goods still apply. An order agreed online does not lose its applicable distance-selling rights merely because you collect it from the shop.

Layaway and storage

Applicable statutory cancellation and refund rights also apply to consumer purchases made by layaway. An agreed deposit, payment schedule or storage arrangement does not override those rights. Keeping an online purchase with us by arrangement does not itself start the 14-day period that runs from physical receipt. Please see our Layaway page for payment arrangements.
